Electronic Documents: Beyond The Paper Realm

It is an inarguable fact that paper is an extraordinary medium. Light and flexible, the paper can display both linguistic quality and aesthetic value to its contents. Its high resolution ensures that information is taken in at a glance and its high contrast makes for easy reading and quick understanding.

Yet paper, despite all its better qualities, is gradually becoming nothing more than a figure of speech.

Going paperless

Paper is consistently seen as a major contributor of office clutter. And clutter is something that every office is trying to eradicate. Though we may never be able to eliminate our filing cabinets completely, giving up on the paperless office dream now would be too soon.

A lot of computer giants have been manufacturing a new kind of system in document management by incorporating the idea of converting paper files into electronic documents. These machines are a technological breakthrough and something akin to the ideal of the paperless world.

Now, stacks of paper can be scanned with excellent precision and converted into electronic documents even without someone operating the machine scanner. These electronic documents are then sorted, indexed, and stored into the computer ready for searching, extracting, and sending over the Internet.

Electronic documents are compact and concise. Because of this, storing electronic documents is by far an easier task compared to storing the more tangible paper. When these electronic documents get into the system, their accessibility, distribution, security, and long-term maintenance are greater than that of paper.

Paper may hinder the workflow. With electronic documents smooth flow in the workplace is ensured as all files are digitally archived for quick and easy viewing from any location. But other than increasing efficiency and augmenting productivity, electronic documents may also alleviate operating costs in the long run as printing and copying expenses decreases. Electronic documents also lessen the need for offsite and onsite storage space because they are compressed into formats to suit the computer’s needs.

Electronic Document Formats

Electronic documents use certain file formats to go with the needs of the day. The standard file format used in electronic documents is the PDF or Portable Document Format. There are several other electronic document formats used, such as word, HTML, postscript, excel, etc., but the preferred one is the PDF.
